Scheduling Track Record

To give you a sense of the kind of results we have been able to deliver, here is a list of tournaments we have supported since June 2023. Before you dive into the table, you should know definitions for two key metrics displayed:
Shared Coach%: The percentage of teams that have at least one coach in common with another team in the tournament. The higher this number, the harder it is to avoid coaching conflicts.
Unresolved Conflicts%: The percentage of non-playoff games where at least one coach is unable to attend the game. 0 is the best number to see in this column. Anything higher means at least some of the coaches needed alternate coverage for their games.

  • A fairly high number of coaches with multiple teams (7 coaches with 4, 5, 6 or 7 teams each)
  • 9v9 and 7v7 teams played 3 games + a potential final
  • 11v11 teams played 3 group games only

  • The primary factors responsible were

      -even within the same facility, different divisions were assigned different fields
      -coaches with 7, 5 and 4 teams

  • Single venue and some games on Thursday and Friday made it easier to accommodate coach requests
  • All 2 and 3 team coaches accommodated, only outstanding conflicts pertained to a 4 team coach

  • Teams from a wide geography and varying skills needed to be in the same brackets due to limited numbers. The primary deliverable was to create custom matchups and assign days to meet requirements such as:
  • - minimize travel time for teams
  • - minimize matchups between teams of very different abilities

  • Teams from a wide geography and sometimes varying skills needed to be in the same brackets. A key deliverable was to create custom matchups and assign days to meet requirements such as:

  • - minimize matchups between teams of very different abilities (e.g. okay for a 1 to play 2, and 2 to play 3, but not 1 to play 3)
  • - honor do not play days for specific teams
  • Scheduled all home games for the affiliated club (300 out of 1200 games), while avoiding coaching conflicts (including conflicts with away games already self scheduled by other clubs).

  • Different venues for different age groups
  • Friday slots helped resolve some conflicts for local teams
  • Far out of town teams needed to get done Sunday morning, which made it harder to resolve many conflicts
Phoenix Cup Boys March 2025 350-400 4 30% 2%
  • 3 day tournament. All teams play a game on Friday. Some teams play two group games on Saturday, some play one Saturday, one Sunday (field limitations)
  • All finals on Sunday
  • 4 venues up to 20 minutes away
  • All 2 team coaches completely accommodated, outstanding conflicts driven by 3 and 4 team coaches
NEFC Spring Showcase - Boys March 2025 700-750 32 54% 10%
  • 32 venues up to 95 minutes away
  • Different venues for different age groups
  • 9 coaches with 4 teams, and 27 coaches with 3 teams each
  • Friday slots helped resolve some conflicts
  • Most of the two team coaches got a conflict free schedule, but overall complexity meant there were still 10% outstanding conflicts

  • Travel distance made it harder to resolve all conflicts, while availability of limited playing slots on Friday eased the pressure

  • A minimum gap of two game slots, combined with travel distance prevented 100% conflict resolution for coaches with both boys and girls teams

  • Many odd sized divisions (e.g. 7, 9, 11 or 13 teams)

  • A small tournament at a single venue
  • Primary reason for unresolved conflicts was coaches with 4 teams, and the fact that the tournament had to take place within 6 hours (9am to 3pm)
Connecticut Indoor Soccer League December 2024 50-100 1 17% 0%
  • 10 week indoor winter league
  • Custom matchup requirements within a division such as "teams from the same club shouldn't play each other" or "oldest teams shouldn't play against the youngest teams"
  • Limited coaching conflicts that were relatively straightforward to resolve

  • 3 venues within 20 minutes of each and relatively low number of coaching conflicts made it straightforward to resolve coaching conflicts
  • Primary complexity was the need to utilize fields 100%, rotate locations for teams, and unique formats for some age groups

  • High number of multi-team coaches (including 34 coaches with 3 or more teams)
  • 100% field utilization for most age groups
  • Some Friday slots available, which allowed more conflicts to be resolved but overall there were too many

  • Relatively low coaching overlap combined with a single facility made it easier to resolve coaching conflicts
  • Primary complexity came from the compressed time line available to generate the entire schedule (less than 24 hours)

  • Single location, and the ability to put some games on Friday evening made it easier to accommodate all coaching requests

  • Unique requirements. Certain clubs and teams to play at specific locations

  • Many unique requirements and multiple team requests (e.g. this club should play at this venue despite the division playing elsewhere, teams sharing players with one team while sharing coach with another, usual time of day requests)
  • All factors combined made it challenging to resolve coaching conflicts
Scottsdale Cup October 2024 200-250 3 42% 1%
  • 3 venues within 20 minutes of each other
  • Tight space. Almost 100% field utilization
  • 3 day tournament. Friday and Saturday for group games, all playoffs on Sunday only
  • Having the option to put some group games on Sunday helped resolve more coaching conflicts

  • Three factors increased scheduling complexity - High number of multi-team coaches, limited number of fields and different kickoff times for different field sizes
